The Causes of Data Corruption

   

Data corruption can be one of the most frustrating experiences for software users. What causes it and what can be done about it? In a nut shell, corruption is caused by something that interfered with the recording of the data utilized by the software. Any number of items can cause this and they will be reviewed in detail below. What can be done about it? There are three options; restore a backup, repair the data or start over with a new database. Your best bet is to make sure you have good backup system and rotate your backup media daily so you can restore a backup.

The top six reasons for data corruption are:

1) Power failures or surges
2) Improper shutdown of the computer or software programs
3) Network problems such as faulty cabling, network cards, switches or hubs
4) Hardware failure within the computer
5) Computer bugs or viruses
6) Routine maintenance not being performed

What can you do to minimize data corruptions?

Power Problems– Install and maintain a working Uninterruptible Power Supplies (UPS) on all computers.

Improper Shutdowns—Always properly shut down your computers and software. If your power or computer is improperly shut down, always make a new backup of the data immediately upon boot up and run File Maintenance to make sure everything is ok.

Network Problems– If you have a network, make sure it is installed by a reputable technician. Plus, make sure you use quality networking equipment. Medisoft requires the TCP/IP protocol and there are various ports and firewall settings that need to be adhered to. The complete setup instructions are given on the Medisoft CD for all users to read. However, it is imperative that a qualified technician setup and maintain the network. Don’t cut corners if you have a network. It will cost you in the long run.

Hardware failure
- Hardware is very much like a car or dishwasher. Someday, it’s going to break. If you have a good backup system, it’s not the end of the world. It can be costly as far as your time is concerned, just like a flat tire is time consuming. But, with backups you will be up and running smooth soon. Also, figure into your budget that computers will fail and replace them every three to four years before they just die or become outdated.

Computer Bugs or Viruses– There are many good computer virus protectors and scanners out there. My personal favorite is Microsoft OneCare. Again, if you have done backup properly, this isn’t a major issue if you "catch a cold". It might slow you down, but you will be up and back new soon.

Routine Maintenance—Most software has a program or two within it that helps optimize and prevent problems from occurring. Medisoft has a utility called File Maintenance that should be used routinely (at least once per month) and should be used to diagnose a problems as well. Always make a backup first prior to running File Maintenance.

In a nut shell…. Make sure you buy good equipment, keep it maintained and replace it as needed. Protect your system with a firewall/virus protector , run File Maintenance on a routinely, and backup, backup, backup…..
